Service Terms & Booking Policy
This Service Terms & Booking Policy applies to services provided by Cheese Effects (Reg No: 53287631L), including photo booth services, AI-powered event experiences, instant printing, live display systems, QR upload activations, interactive installations, and related event services.
By confirming a booking with Cheese Effects, the customer acknowledges that they have read, understood, and agreed to the terms stated below.
Booking Confirmation
A booking is only confirmed upon receipt of the required retainer payment and written confirmation from Cheese Effects.
Event dates and service slots are reserved on a first-come, first-served basis. Enquiries, quotations, or verbal discussions do not constitute a confirmed booking until the required payment has been received.
Payment Terms
A booking is only confirmed upon receipt of the required payment amount stated in the quotation, invoice, or booking confirmation issued by Cheese Effects.
Depending on the service type, event requirements, operational scheduling, or internal assessment, Cheese Effects may require either partial payment, retainer payment, milestone payment, or full payment before the commencement of the service.
Unless otherwise stated in writing, all outstanding balances must be fully paid before the event date or service commencement.
Payments made for confirmed bookings are generally non-refundable once operational scheduling, manpower allocation, equipment reservation, preparation work, or production processes have commenced.
Cheese Effects accepts payment via bank transfer, PayNow, and other approved payment methods stated in the quotation or invoice.
Amendments & Changes
Any changes to the booking, including event timing, venue, service type, design requirements, or activation details, should be submitted at least fifteen (15) days before the event date.
Requests made less than fifteen (15) days before the event may be subject to availability, operational feasibility, additional charges, or rejection.
Extensions
Onsite extensions may be requested during the event but are subject to staff availability, equipment availability, venue restrictions, and operational feasibility.
Any approved extension will be charged based on the applicable extension rate and must be paid upon confirmation or completion of the extended service.
Cancellation Policy
If the customer cancels the booking, the initial 50% retainer payment will be forfeited.
For cancellations made on the event day, the full service amount will remain payable, as manpower, equipment, preparation work, and logistics would have already been committed.
Postponement or rescheduling requests may be considered on a case-by-case basis and are subject to availability.
Venue Access & Customer Responsibility
The customer is responsible for ensuring that Cheese Effects is allowed to access the venue and set up at the agreed location and timing.
This includes obtaining any required permits, venue approvals, loading bay access, lift access, parking clearance, power access, and management permissions.
If Cheese Effects is unable to set up due to missing permits, denied venue access, incorrect information, unsafe conditions, or restrictions imposed by the venue, the service will be deemed as attempted and no refund will be provided.
Setup Requirements
Unless otherwise agreed, our services require a safe, stable, and sheltered setup area with suitable access to power supply.
Photo booth kiosks, printers, computers, lighting systems, and related equipment are designed for indoor or sheltered use only. Outdoor or unsheltered deployment is not permitted unless specifically assessed and approved in writing by Cheese Effects.
The customer must ensure that the setup area is not exposed to rain, strong wind, water leakage, excessive heat, unstable flooring, or other unsafe conditions.
AI, Digital & Interactive Experiences
Some Cheese Effects services may involve AI-generated images, face transformations, QR submissions, live galleries, digital message walls, internet-based systems, or cloud processing.
AI-generated outputs may vary in style, accuracy, layout, appearance, and interpretation. While Cheese Effects will take reasonable steps to operate the service smoothly, exact AI results cannot be guaranteed.
For digital and interactive services, performance may depend on factors such as internet connectivity, third-party platforms, device compatibility, server availability, and participant behaviour.
Media Display & Content Usage
Depending on the service booked, participant photos, videos, messages, AI-generated outputs, or submitted content may be displayed on live screens, projectors, LED walls, slideshows, microsites, galleries, or other event display systems.
The customer and/or event organiser is responsible for ensuring that participants, guests, users, or attendees are appropriately informed of and agree to the collection, processing, display, sharing, and usage of their photos, videos, facial images, submitted content, and personal data where required for the operation of the booked service or activation.
Where applicable, the customer and/or organiser shall obtain the necessary permissions, notices, or consents relating to AI-generated processing, live displays, digital galleries, QR uploads, instant printing, media sharing, and related event activation features.
Cheese Effects may also use selected event media for portfolio showcase, marketing, social media, internal demonstrations, and reference purposes for prospective clients unless otherwise agreed in writing.
Cheese Effects shall not be liable for any claims, disputes, complaints, losses, damages, or liabilities arising from the customer’s, organiser’s, or participant’s failure to obtain or provide the appropriate permissions, notices, or consents relating to the use of the service or activation.

Equipment Care & Damages
All equipment provided by Cheese Effects remains the property of Cheese Effects.
The customer and event participants must not move, dismantle, adjust, tamper with, or misuse any equipment without approval from Cheese Effects staff.
The customer may be responsible for repair or replacement costs if equipment is damaged, lost, stolen, moved without permission, mishandled, or affected by unsafe venue conditions, except for normal wear and tear.
Safety & Conduct
The customer is responsible for ensuring a safe event environment for guests, staff, equipment, and venue users.
Cheese Effects staff reserve the right to pause, stop, or refuse operation if the setup area becomes unsafe, if equipment is being misused, or if staff members are subjected to threats, harassment, abuse, discrimination, or aggressive behaviour.
Electrical, Weather & Operational Safety
The customer and/or event organiser is responsible for providing a reasonably safe, sheltered, and suitable operating environment for the setup and operation of Cheese Effects equipment and services.
Unless otherwise agreed in writing, all equipment and activations requiring electrical power are intended for indoor or properly sheltered use only and must be protected from rain, water exposure, excessive heat, unstable surfaces, strong wind, and hazardous environmental conditions.
The customer shall ensure that adequate and stable electrical power is available at the venue and that the setup area complies with venue safety requirements and operational regulations.
Cheese Effects reserves the right to suspend, modify, relocate, delay, or terminate the setup or operation of any service if the environment, weather conditions, power source, venue condition, or operational circumstances are deemed unsafe or unsuitable by our team.
Cheese Effects shall not be liable for interruptions, damages, delays, equipment issues, injury, loss, or service limitations arising from unsafe venue conditions, weather exposure, power-related issues, water exposure, venue restrictions, or circumstances beyond our reasonable control.
The customer and/or organiser shall be responsible for any damage, repair, replacement costs, or operational losses arising from misuse, negligence, unsafe venue conditions, unauthorised handling of equipment, or failure to provide a suitable operating environment.
Service Limitations
Cheese Effects will make reasonable efforts to deliver the agreed service professionally and smoothly.
However, Cheese Effects will not be liable for delays, interruptions, or service limitations caused by factors outside our reasonable control, including venue access issues, power failure, internet issues, weather conditions, third-party platform failure, participant misuse, incorrect information provided by the customer, or restrictions imposed by the venue.
Liability
In the unlikely event that Cheese Effects is unable to fulfil the confirmed service due to reasons within our control, our liability shall be limited to a refund of the amount paid for the affected service.
Cheese Effects shall not be liable for indirect, consequential, incidental, special, punitive, or loss-of-opportunity damages arising from the booking, event, service delay, service interruption, or service non-performance.
Force Majeure
Cheese Effects shall not be responsible for failure or delay in service caused by events beyond our reasonable control, including but not limited to natural disasters, severe weather, government restrictions, venue closure, power outage, internet disruption, illness, accidents, transport disruption, or other unforeseen circumstances.
Agreement
By confirming the booking and making payment, the customer agrees to be bound by this Service Terms & Booking Policy.
Any special arrangement, waiver, or amendment must be confirmed in writing by Cheese Effects.
